Velocity Tours & Travel ("we," "us," "our") acts as an independent travel agency and agent on behalf of our clients. We arrange travel services including flights, accommodations, cruises, tours, and transportation through third-party suppliers including airlines, cruise lines, hotels, and tour operators.
We are not the supplier of these services and are not responsible for the acts or omissions of any supplier or their employees, agents, or contractors. Our role is to facilitate the booking of travel services on your behalf, provide expert guidance, and serve as your primary point of contact throughout the travel process.
A booking is confirmed when a deposit has been received and a booking confirmation has been issued by Velocity Tours & Travel. Deposit amounts vary by trip type and supplier requirements and will be communicated to you at the time of booking.
By submitting a deposit, you acknowledge that you have read, understood, and agreed to these terms and conditions, as well as any supplier-specific terms provided at the time of booking. For group bookings, the group organizer accepts these terms on behalf of all travelers in the group.
Trip-specific cancellation policies, deposit schedules, and final payment deadlines will be provided in your individual booking documentation at the time of reservation.
Final payment is due by the date specified in your booking confirmation, which is determined by the supplier's requirements and typically falls 60 to 90 days prior to departure for international trips and 30 to 45 days for domestic travel.
Failure to make final payment by the due date may result in automatic cancellation of your booking and forfeiture of your deposit. We accept major credit cards and will provide a secure payment link for all transactions.
Prices are subject to change until a deposit has been received and a booking confirmation has been issued. We make every effort to honor quoted prices but are not responsible for price changes by suppliers prior to confirmation.
Cancellation policies vary by supplier and trip type. Specific cancellation terms will be provided in your booking documentation. General guidelines are as follows:
We strongly recommend purchasing travel insurance to protect against cancellation penalties. Refunds are processed according to the supplier's timeline and are not within the direct control of Velocity Tours & Travel.
Changes to confirmed bookings, including name changes, date changes, and itinerary modifications, may incur fees charged by the supplier in addition to any administrative fees from Velocity Tours & Travel. We will communicate all applicable change fees prior to processing any modification.
Airline tickets are subject to the fare rules of the issuing carrier and may be non-refundable and non-changeable depending on the fare class purchased. We will always advise you of the flexibility of any tickets before purchase.
Velocity Tours & Travel strongly recommends that all travelers purchase comprehensive travel insurance, including coverage for trip cancellation, trip interruption, medical expenses, evacuation, and baggage loss. We are able to provide quotes for travel insurance and encourage all clients to review coverage options at the time of booking.
Velocity Tours & Travel is not an insurance provider. Any insurance purchased is a contract between the traveler and the insurance company, subject to the insurer's terms and conditions. We are not responsible for denied claims or disputes with insurance providers.
Velocity Tours & Travel acts solely as an agent for suppliers and is not responsible for any injury, illness, death, loss, damage, delay, or other adverse event caused by the negligence or actions of any supplier or third party, including airlines, cruise lines, hotels, tour operators, and transportation providers.
We are not responsible for losses or additional expenses resulting from delays, changes, or cancellations caused by weather, natural disasters, acts of government, strikes, health emergencies, or other circumstances beyond our control. These situations are typically covered by travel insurance, which we recommend for all travelers.
Our liability to you shall not exceed the total fees paid to Velocity Tours & Travel for agency services on your booking, excluding supplier costs.
You are solely responsible for ensuring that all travelers possess valid travel documents required for your itinerary, including passports, visas, entry permits, and health documentation. Passports must typically be valid for at least six months beyond the return date of travel.
We provide general guidance on documentation requirements but are not responsible for denied boarding, entry refusal, or other consequences resulting from incomplete or invalid travel documents. Requirements may change without notice and we recommend verifying current requirements with the relevant embassy or consulate.
Please inform us of any health conditions, disabilities, dietary requirements, or special needs at the time of booking so that we may make appropriate arrangements with suppliers. While we will make every reasonable effort to accommodate special requests, we cannot guarantee that all suppliers will be able to meet every request.
You are responsible for consulting your physician regarding any vaccinations, medications, or health precautions recommended for your destination. Velocity Tours & Travel does not provide medical advice.
